Tracking Emails with Outlook for Dynamics CRM

Introduction

This blog shows how to track emails in Dynamics CRM with the Outlook plug-in. A key advantage of the plug-in is that it allows staff to easily add important emails to CRM, without changing the way they work.

Tracking an Email

With the Outlook plug-in installed the email Message ribbon bar will have two additional options – Track/Untrack and Set Regarding. To track an email in CRM click “Track”. You can change your mind/stop tracking any additional responses by clicking the “Untrack” option. The email will be automatically stored as an Email Activity for each Contact, Lead or Account on the To list. 
 
When you hit track the Microsoft Dynamics CRM panel will be shown at the bottom of the email message.

Set Regarding

The email will be tracked against each Contact, Lead or Account, but you may also want to have the Email Message activity show on the CRM record the email is about e.g. on the Invoice or Opportunity. To also have the email show on the related record hit “Set Regarding” and select the record you would like to associate the email with. Recently viewed records will be shown. Click “More…” to be able to select any CRM record.

Once selected the Microsoft Dynamics CRM information panel will show the Regarding record. In this example it is Regarding an Opportunity.

When the email is sent the message will be automatically stored in Dynamics CRM.

We can now look at how this email message will appear in CRM.
Looking at the Contact record we can see the Email Message is shown as an Activity on the social wall.

It will also automatically show on the Account Record that the Contact is associated with.

And finally it will also be seen on the record that we selected as “Regarding”. In this case a sales Opportunity.
